Privacy policy

1. Controller

2. What data we process

Self-registration: you create your access yourself. We store your email address, optionally your name, the chosen language and the time of registration. For signing in we send a single-use link to your address which expires after 30 minutes.

Client access: name, email address, optionally company and phone number, language preference, encrypted password, time of last sign-in and the projects assigned to you.

Documents: the files filed for your project and their metadata (file name, size, category, date).

Access log: for every download we store the document, the user account, the IP address and the time. This serves traceability and the security of the portal.

Contact form: name, email address, optionally phone number and project reference, your message as well as IP address and time of sending.

Server logs: for technical reasons the web server logs IP address, date, page requested, browser type and operating system.

3. Legal bases

Providing the portal and the documents serves the performance of our contract with you (Art. 6(1)(b) GDPR). Access logs and protective measures against misuse are based on our legitimate interest in secure operation (Art. 6(1)(f) GDPR). Your enquiry via the contact form is processed on the basis of your consent (Art. 6(1)(a) GDPR) or to take steps prior to entering into a contract.

4. Cookies

We use one technically necessary session cookie that keeps you signed in, plus one cookie that stores your language choice. We use no tracking, advertising or analytics cookies, so no consent is required.

5. Fonts

Fonts are loaded from Google Fonts, which transmits your IP address to Google. On request the fonts can also be hosted locally on our server.

6. Recipients

Your data is processed on the servers of our hosting provider in Luxembourg, with whom a data processing agreement is in place. No transfer to countries outside the EU takes place.

7. Retention

Access data and documents are stored for the duration of the business relationship and beyond, for as long as statutory retention periods apply (in Luxembourg usually ten years for business records). Access logs are deleted after twelve months, contact enquiries once handled and at the latest after three years.

8. Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and objection. You may withdraw consent at any time with effect for the future. Please contact hello@documentation.lu.

You may also lodge a complaint with the Luxembourg supervisory authority: Commission nationale pour la protection des données (CNPD), 15 boulevard du Jazz, L-4370 Belvaux, cnpd.public.lu.

9. Security

The connection to this portal is encrypted throughout (HTTPS). Your documents are stored outside the publicly reachable directory and can only be retrieved after signing in. Passwords are stored solely as a non-reversible hash.
